Employee Provident Fund Organization (EPFO)

With the aim of providing for the forthcoming needs of the employees after their retirement or death at the time of job the central government of India came up with the plan which would provide for their needs after the retirement and also take care of their dependents in case of death. This was in the year 1925 when the first Provident Fund act was passed for few private sector concerns but then in the year 1929 it was formulated for industrial workers as well. Eventually in the year 1948, it was agreed that the provident fund scheme would be statutory and all the industrial workers would be taken into consideration. When this scheme got the much needed success it was then expanded to other industries as well. Accordingly after so many changes and modification, it was finally introduces as the Employees Provident Fund act in the year 1952.

EPFO is the acronym for Employee Provident Fund Organization. This organization is aimed at assisting the Central Board of Trustees which is a statutory body as established by the Employees’ Provident Fund and Miscellaneous Provisions Act, 1952 and is under the administrative control of the Ministry of Labour and Employment, Government of India. This Employee Provident Fund Organization is known for assisting Central board wherein under the PF scheme the contribution is made compulsory. Every month, a contribution of 12% from the basic of the salary of the employee is made by the employee and similar is made by the employer. This contribution which is made by the employer consists of Provident and Pension fund.

Universal Account Number (UAN)

The Universal Account Number is allocated by the Ministry of Labor and Employment and the Central Government of India. It is to facilitate the people who have switched jobs and if the new employer allots a new PF account number, it can be merged with other PFs as linked under the UAN. The reason of having a UAN is to curb the problem of multiple PF accounts of an individual as it was a grave concern for the government since it led to a number of issues pertaining to transfers and withdrawals of PF corpus. Therefore for the sake of getting over this situation, the idea of UAN was conceived and it led to effective management of multiple PF accounts of individuals wherein all the multiple PF accounts are now connected under one single account number. It is also very easy and convenient for the employee as well as the employer. With the help of UAN, the process of transfers and withdrawals is also made easier. Any employee who has a PF account is allocated a unique number and it is known as UAN or Universal Account number.

It is a 12 digit number and is allotted by the EPFO to the employer and then the employer can share it with the employee. The aim is that the employees must have an ease of control on their EPF accounts across various companies they have worked. As the name suggests, this number of unique and every member has an individual number. Through this UAN, the members can check their PF status, and can use it to make their partial or complete withdrawals and also transfers. It facilitates the easy and comfortable transfer and withdrawal of the fund without any interference from the company.

The UAN was introduced so that the member and the employer could be at an ease. For the company, the major benefit is that the employee doesn’t need to create a comprehensive database as with UAN it is at a centralized place. The KYC details as shared by the employee must be entered in the portal by the employer so that at the time of withdrawal, any kind of approval or attestation is not required. UAN indeed has made the life of people easier.

How to Activate UAN

The UAN is shared by the company to the member and is allotted by the EPFO. Any employee who has a valid PF account can register for UAN. And it is now mandatory as well from the Government. It gives a clarity on the transfers, contributions, refunds, and withdrawals. The steps to register a UAN are as under:

  • Log on to the EPFO’s official website.
  • Enter the state and other details such as PF number and the establishment code. You can easily find the PF number in your pay slip. In case it is not there, please get in touch with the HR.
  • Click the Check status button wherein a status page will pop up on the screen and the message will be displayed if the UAN is allotted
  • After obtaining your UAN, you can now take a print of the same and give it to your employer so that they can initiate the fund transfer to your new Provident Fund account.

UAN Login Process Step by Step Guide:

The next step after registering UAN is the Login. For logging in, visit the official website of EPFO. You can use your registered contact number to retrieve the credentials in case you have forgotten your Password and UAN. On the member portal of EPFO, you would be able to access your account and all the details such as UAN, PAN Card, Aadhaar card etc.

Activating the UAN is also important. For that you need the member ID and the registered contact number and you can register yourself online. The Activation process is as under:

  • Go to the official website of UAN or the member portal.
  • On choosing “Activate the UAN” a UAN form will be displayed on your screen.
  • You will be now required to enter your 12 digit UAN and choose the check box and then enter the user id.
  • You are now required to select the state and office from the drop down list, and enter the code of PF office.
  • In case the employee doesn’t have the member ID they can use the PAN card number to enter.
  • The KYC Details would be required to seed in such as mobile number, name, date of birth, email address and others.
  • Enter the captcha code and choose to receive the authorization PIN number which will be received on the registered mobile phone for the authentication process.
  • Punch in the Pin number and then submit the application form.
  • With this the UAN activation process is complete and the member will get a confirmation messages on the email ID confirming the same.

Once the activation is done, the member can now login the portal.

How to Know your UAN status

Checking the status of UAN these days is very convenient and easy. There are three ways with the help of which you can check your UAN status.

Method 1 –

  1. Visit the official EPFO website and click on Know My UAN Status.
  2. Punch in the details and the contact number that was used at the time of registration with the UAN portal.
  3. Authenticate the details with the One Time Password you got on your registered mobile number.
  4. Punch in other details such as Provident Fund Number, PAN/Aadhaar Card Number, Name, Contact Mobile, Date of Birth etc.

Method 2 –

You can check the status through the UAN Portal also. Follow the below mentioned steps –

  • Visit the official website of unified EPFO portal and click on the required Know My UAN status from the menu.
  • Choose the region and state of the EPF Office and punch in PF account number in the designated place.
  • Enter the compulsory details such as name, e-mail address, Date of Birth, and the Mobile Number that are registered with the EPFO.
  • Hit the check button, and you will get the message once the UAN is allotted to you.
  • The UAN status will now appear in your screen.

Method 3 –

  • In the official website of EPFO, punch in the details of your office area and state along with PF Number which is a combination of allotted PF number, the establishment code and Region code. This is usually mentioned on the salary slip and in case it is not there, you can get in touch with the HR of your company.
  • Punch in the details of Provident Fund Account and then click on Check Status. You will now get a message affirming the activation of your UAN.

Online Aadhaar Verified UAN Allotment 

Now one can generate the UAN with the help of Aadhaar card also. This can be even done before joining the new employer. This process involves generation of OTP or One Time Password therefore it is best to keep the same close. The steps of the same are as under:

Step 1: Visit the member portal of EPFO

Step2: On the screen of the unified Member Portal hit “Online Aadhaar Verified UAN Allotment”

Step 3: You will now be redirected to a new page wherein you will be required to enter your Aadhaar Number and then “Generate OTP” which you will now receive on your registered mobile number.

Step 4: Punch in the OTP and accept the disclaimer therein by ticking on the box. The Submit Button will now get enabled and click on it now to proceed further.

Step 5: Your basic details as available will display basic details available against the Aadhaar card which the user can authenticate and fill in the data as required in the compulsory fields as mentioned on the screen.  Enter the Captcha code, tick the disclaimer box and Click on “Register” button
Step 6:After clicking “Register” the UAN will get allotted and will be shown to the user as a message on the screen.

If you are facing any trouble with the UAN or any other PF related query, you can get in touch with the UAN Helpdesk. The various problems that the Helpdesk can help you in are:

  • Searching the UAN Number
  • Retrieval of the password in case the mobile number is changed
  • In case the details such as name, father’s name, date of birth are incorrect.
  • In case of issues with the PF Passbook
  • In case you are not able to receive the alerts
  • To check the status of claim

You can also go to the official page of Unified portal and find the Link of UAN Helpdesk at the bottom of the page. This link shall give you the access to the portal. You can choose the problem you are facing from the drop-down menu and accordingly navigate to the link which is provided there. It will help you find the solutions to the problems that you are facing. Besides you can always submit the request and even upload the document that is required. Post verification this request will be completed. Approaching the UAN helpdesk through the online mode is the easiest way as it is hassle free and less time consuming.

The process of submission of request via offline mode that you can use is as under:

  • Contact the HR department and request them to redirect your submission to the EPFO.
  • You might be required to fill up a form or maybe write an application. After the same is submitted to HR, they will then forward the same to the EPFO.
  • It takes up to 15-20 working days for the request to get completed.
  • It is, however, noteworthy that the request is further subjected to the authentication and authorization.

As mentioned earlier, it is always better to approach the Helpdesk via the online medium as it is convenient and easy. Even if you are still not satisfied with the resolution, you can always call up the helpdesk number and then escalate it further via mail. EPF Balance – Check Passbook Status Online

1. Download the UAN M-epf Mobile app from the Play store and check balance –

Downloading the UAN M-epfMobile app is a unique option. Though there are certain issues with the Android devices but web developers are focusing to clear them and also making people aware of the same facility. All you need to do is click on the MEMBER and then on Balance/Passbook. Fill in your UAN and password and then you can view the PF balance.

2. The Direct link to download the passbook from UAN member portal with UAN & password is https://unifiedportal-mem.epfindia.gov.in.

  • Log in with your UAN & Password.
  • Go to the Menu bar and click on view, click on passbook, and then download your UAN Card. You can change the password also in the account settings if you wish.
  • Choose the Dates to check the EPF Statement and it will display like the Monthly passbook or the Bank statement.

EPFO PF Claim and Check Claim Status

The PF Claim is the amount which is request to be withdrawn. It takes somewhere between 20-30 days for the PF claim to settle down but the person should be aware of the claim status. The process to check the claim status of PF is as under:

Steps to Make Payment at ECR Portal

To initiate the EPF payment, the employers must follow the below mentioned steps:

  1. Visit the official site of Unified portal – https://www.unifiedportal-emp.epfindia.gov.in/epfo/
  2. Login using the credentials.
  3. Go to the home page and choose the tab “Payment”. From the menu, choose the option “Payment (ECR)”
  4. Now you can download the ECR of previous month by choosing the file type – ECR. It shall be now downloaded in an Excel sheet. The sheet is relatively simple to understand.
  5. The employer can now save the file in Comma Delimited format – CSV as *.csv
  6. Open this CSV file using the Notepad application on the system
  7. Now replace all the Comma with #~#
  8. Delete the column headings and also the blank lines and save this file in the text file format (*.txt)
  9. The next step is to upload the file. Click on the “Proceed” button after the Text file is uploaded.
  10. The employer can now visit the PAYMENT division under different headings which the employer needs to feed in manually. These are the administrative charges for the PF and EDLI. The charges for PF is .85% of total EPF amount. In case this amount is lesser than 500/- mention 500/-. In case of EDLI, .01% of the total EDLI deduction has to be written so if this amount is lesser than 200/-, the employer has to mention 200/-.
  11. The employer can now verify the details and click on Generate Challan. The TRRN number will be displayed on the webpage.
  12. They can now easily download the Challan Receipt and the Acknowledgement slip.
  13. Now the PF can be paid using the “Pay” option. Clicking here will direct you to the payment through online mediums or net banking. The employer must download the receipt of payment confirmation.

How to Register for UAN Services

Method 1 – Through employer

Usually it is the employer who shares the EPFO as allocated to him by the EPFO. Some employers even mention the same in the pay slips as well. In case it is not there, you can always touch base with the HR of your company.

Method 2 – Through the UAN portal with the help of PF member ID

In case your employer has not shared the UAN with you, if you left the employment or some other reasons, you can get the same through the portal as well. Just follow the below mentioned steps:

  • Go to the Unified portal https://unifiedportal-mem.epfindia.gov.in/memberinterface/
  • Click on “Know your UAN status”
  • Choose your region and the EPF office within the jurisdiction from the menu and fill in the details such as your PF number, name, birth date, contact number, captcha code and click on “Get Authorized PIN”.
  • You will now get a PIN on your registered mobile number which you will enter and press “Validate OTP and get UAN”
  • The UAN will now be sent on your registered mobile number.

How to login to UAN Portal to Check Balance

The procedure to check the balance on UAN portal is as under:

The members can check their balance by downloading their PF passbook on the UAN portal as well. The procedure is very simple and very easy to follow. Mentioned below are the steps for the same.

  • Enter the website of UAN portal – https://unifiedportal-mem.epfindia.gov.in/memberinterface/
  • Punch in the 12-digit UAN on the right hand side of the page along with the password and Captcha characters.
  • Click on the link “download passbook” on the homepage.
  • After this, a page will open which shall display the PF balance in the account. The passbook will show the contributions done by both – the employer and the employee along with the total accumulated amount in the account.

PF Withdrawal and Transfer Process

EPFO Services for employers

  1. Attach new employees to UAN: Theemployer can add up newly joined employees to the UAN through the employer portal of UAN.
  2. Allocation of new PF number to the new employee: After the verification of the documents provided by the newly joined employee, the employer can then allocate new UAN number to them through the employer portal.
  3. Attach employees who already have UAN: The employer can also add the employees who already have a UAN. If the newly joined employees provide their existing UAN number, the employer can add them in the employer portal.
  4. Transfer KYC information: It becomes easy for the new members to upload or transfer their KYC details and information on the server to accomplish the registration process. There is an option of Bulk upload which enables the members to upload their documents in one go. The employees can then check and verify all their documents on the portal.
  5. Download the listed members of UAN:The employer can download and save the listed members on the employer portal of UAN. It is convenient as it allows the employers to check if any of the members are left out.
  6. Checking on the transfer request of PF from the new/old employers: it is very convenient to check the status of PF transfers on the employer portal of UAN. It is already mentioned that PF transfer doesn’t need an approval from the old employer provided the employee is registered on the member portal of UAN.
  7. Consent to the claim request of the employee: if the employee has made a claim request, they can check the status of their request through the member portal. Employer also can check the PF transfer or withdrawal claim status on the employer portal.

EPFO Services for employees

  1. Checking the Balance of EPF:The employees can now check the balance of PF via UAN Member Portal. Employees need to complete the Registration and then the Activation Process to visit the UAN Member login Portal where they can log in using their credentials and check the balance.
  2. Check and update the EPF Passbook:The employees can easily download and save their EPFO Passbook via UAN Member Portal. All the transactions in their PF Account and all other details are easily available on the UAN Member Portal.
  3. Detailed transactions on the UAN card:After the UAN is activated, members must log on to the member portal once using their credentials. They can now download their card which has the details of transactions. You can save this card for future use or can print it for reference.
  4. Check the status of their claim:One can now check the claim Status with the help of their credentials. Just log on to the member portal and find the status of their full or partial withdrawal or transfer of past PF to a new account.
  5. Helpful for withdrawal and transfer of PF: It is now very convenient to withdraw the PF money using the member portal if the employee is registered. In this case neither do they need to go to the employer or the PF office to withdraw the money. Likewise it is easy to transfer the money from the past employer to the new one. Only the UAN details are to be shared with the new employer and the new PF account will be added to the existing UAN.

EPFO Member Registration

Method 1 – Through employer

Usually it is the employer who shares the EPFO as allocated to him by the EPFO. Some employers even mention the same in the pay slips as well.

Method 2 – Through the UAN portal with the help of PF member ID

In case your employer has not shared the UAN with you, if you left the employment or some other reasons, you can get the same through the portal as well. Just follow the below mentioned steps:

  • Visit the portal on the linkhttps://unifiedportal-mem.epfindia.gov.in/memberinterface/
  • Click on “Know your UAN status”
  • Choose your region and the EPF office within the jurisdiction from the menu and fill in the details such as your PF number, name, birth date, contact number, captcha code and click on “Get Authorized PIN”.
  • You will now get a PIN on your registered mobile number which you will enter and press “Validate OTP and get UAN”
  • The UAN will now be sent on your registered mobile number.

After the process of registration is complete, the members must activate their UAN through

Different Schemes offered by EPFO

  1. Claim forms for withdrawal of PF –The Claim forms such as Form number 31, 19 and 10C are available in the member portal. These forms are helpful for the PF’s partial or full withdrawal. But before making use of these forms, the Aadhaar card must be connected to the UAN.
  2. Request for PF transfer – The members can now apply for the transfer of their PF from their past account to the new account. Also only one request of transfer shall be entertained per PF account. But before it is done, they must ensure the following factors:
  • KYC information mentioned on the website is accurate
  • The details of bank account is available in the database of UAN.
  • The KYC information is seeded in the portal of UAN
    1. Follow the status of the claim – The most important service the PF portal provides is the status of the claim. There is a section referred as “Track Claim Status” which shows the status of your claim of transfer or withdrawal. Just log on to the UAN member profile on the member portal and you can get the information that you need.
    2. Contact information – One can now update their mobile number in the portal.The members will receive an authorization PIN on the new contact number. Enter it in the designated area and the contact number will get updated. Same process has to be followed to modify the email address as well.
    3. Update KYC – Members can now update their KYC in the portal. The documents must be scanned and uploaded in the portal with their details of KYC. This also needs to be authenticated by the employer post which it will get updated in the UAN of the member. The information required is the bank account details, PAN and Aadhaar card details. Copy of Passport and driving license along with the voter card, and ration card
    4. PF Profile – The complete information of the member is uploaded in the portal such as personal information and contact details. Click on the link of their profile and members will be able to see their information like, UAN, birth date, their name, gender, father’s name, contact number and mailing address, educational qualification and marital status etc. you can modify your email id as well as your contact number on this page.
    5. Track of service record – As you are aware that a member is allotted a single UAN which he/she will possess for his/her lifetime, all his service history will also be recorded on the portal no matter how many companies he/she change.
    6. UAN Passbook – to check the passbook, the members need to visit the official website of the EPFO as it is not available on the portal.
    7. UAN Card – The UAN card is also available for download on the member portal of UAN. You can access the card under the menu named as “View”. The card is particularly helpful in case you want to withdraw or transfer the PF directly from the PF office i.e., through offline mediums.

EPFO Transfer and Withdrawal

In case the member has their UAN registered and activated, it becomes very easy to initiate the transfer and withdrawal process. The EPFO has facilitated the online transfers and Withdrawals through the UAN. And all of this without any kind of intervention from the Employer. It is due to UAN since all the details entered in UAN are verified by the employer that’s why the employee doesn’t need roam around the employer asking for approvals. The process for the same is very simple and very easy to understand.

How to Calculate EPF Tax?

In case you are planning to withdraw your EPF but have not completed 5 years in your job then your balance is prone to taxation. It is not essential that it is the same employer. Even if you have worked with multiple organizations the PF becomes Taxable. Also it is recommended that in case you are changing your employer, have the PF balance of your past company shifted to the new Account as given by employer.

The TDS on the EPF withdrawal is deducted at the rate of 10 % in case the PAN is provided. Or else TDS is deducted at the maximum marginal rate of 34.608 % in case PAN is not submitted.

EPFO Claim Status

Finding the EPFO claim status is important as it will help you reduce your visits to the EPF office and you can easily get the status of your claim online. You can also check your PF balance online if your UAN and Online EPF are activated. This is a very simple and convenient process to check the status of claims. The status updates are dynamic and change as and when there is a change in the procedure.

The members can easily check their claim status online. This facility is brought to you by the Government of India in collaboration with the EPFO. The only two things required to check the claim status, the employee and the employer need the UAN Number and the Claim ID. This could be checked through Member Portal.

How to Check EPFO Claim Status

To check the EPFO claim status you must possess the following:

  • PF Account number
  • Regional office of EPF of the employer
  • Establishment code and extension code

You can check the claim status on the website of EPF – The process for the same is as under:

  • Go to the official website of EPF
  • Click “Our Services” and find “For Employee” tab
  • Under the “For Employee” tab find “Services” section and hit “Know Your Claim Status”
  • You will be then redirected to another page, where you will find “Click Here for Knowing the Claim Status”
  • After this step, a new webpage will be displayed and you will be required to select the PF Office state and corresponding to this, a list of EPF offices in the selected state will open up.
  • Select your PF office where your claim request will be sent or will be settled. This will be available from the drop down menu.
  • After you complete the above mentioned step, the office and region code will automatically get filled.
  • Now you would need to punch in the establishment code or the company code which is a 7 digit code.
  • If any extension number is given, enter that as well in the fourth box or else leave it blank.
  • Punch in your PF account number in the 5th box which is a 7 digit number.
  • Check and verify all the details and then submit.
  • You would now be able to check Claim status of your EPF

You can also make use of UMANG app to check the status. The complete process of the same is as under:

  1. Download the UMANG App from the Google Play store
  2. Find “EPFO Services”
  3. Under this option, find “Employee Centric” Option
  4. Now you will find two options – “Raise Claim” and “View Passbook”
  5. Find “Track Claim” from these two options and click on it.
  6. Punch in the Claim reference Number
  7. You will now receive an OTP on the registered contact number. Punch in that number.
  8. Now you will click on the link “Track Claim”
  9. The status of your claim will now be displayed on your mobile screen now.
